As part of Overflow’s commitment to seamless integrations with platforms like Planning Center Online (PCO), Rock RMS, and other church management systems (ChMS), it’s critical to follow consistent fund management practices to avoid sync failures and ensure accurate data across all systems.
🚨 Why Fund Naming Matters
When your integration is configured, Overflow links your funds to those in your external platform using fund names or IDs. If a fund name is changed after the initial sync, Overflow may no longer recognize it—resulting in:
-
❌ Failed or missing transactions
-
❌ Duplicate or unassigned funds in your ChMS
-
❌ Reconciliation discrepancies between Overflow and your connected systems
âś… Best Practices to Prevent Sync Issues
1. Avoid Renaming Funds After Initial Sync
Once your funds are synced, do not rename them directly in Overflow. If a change is necessary, please reach out to your Overflow Account Manager so we can help update both systems properly and avoid sync conflicts.
2. Use Consistent Naming Conventions
Establish a clear naming convention before onboarding (e.g., "Tithes - Online", "Missions - Campus B") and stick with it across Overflow and your ChMS to ensure easy mapping and recognition.
3. Review Fund Mappings Regularly
We recommend auditing your fund mappings quarterly or prior to launching a new giving campaign. This helps catch misalignments or deactivated funds early and keeps your data clean.
4. Communicate Planned Fund Changes
Thinking of adding or modifying funds? Let us know first. We’ll walk you through the best steps to prevent sync disruptions and help align your fund setup with existing mappings.
đź’ˇ What Happens If a Fund Is Renamed?
If a fund is renamed in Overflow after it has been linked to a third-party system, the integration may treat it as a new fund unless the mapping is manually updated. This can silently cause:
-
Missed or unsynced transactions
-
Unmapped contributions in your CRM
-
Extra time spent on manual reconciliation
We’ve seen this happen when partners renamed synced funds without notifying us—requiring manual backfills to recover lost data.
