Understanding the Contributions Table (and Using Filtered Data)

This guide will walk you through the Contributions Table, a powerful tool for analyzing individual donations, generating reports, and understanding your donors' giving patterns.

πŸ’» Accessing the Contributions Table

Once you have logged into your Dashboard, navigate to the "Contributions" module in the left sidebar. (https://dashboard.overflow.co/)

πŸ‘€ Donor Overview

  1. Donor Name β€” Sort alphabetically or in reverse alphabetical order
  2. Amount β€” Sort donations from highest to lowest
  3. πŸ‘‰πŸ½ Date β€” The date that the gift was initiated. (Note: The table is defaulted to sort by most recent gift.)
  4. Asset Class β€” Identify donation types, such as Stocks, Crypto, Donor Advised Fund (DAF), Digital Cash (credit/debit cards, ACH, Apple Pay, or Google Pay), and Manual Cash (physical cash and checks)
  5. Status β€” Track the current status of donations
    • 🟒 Confirmed Gifts
    • 🟑 Initiated, In Process, or Pending Gifts
    • πŸ”΄ Canceled, Voided, Refunded, Abandoned, or Failed Gifts
  6. Campus (or Fund, if any) β€” If your top-level designation type has been renamed by your organization, this column will reflect that customization.

πŸ’° Donation Details

Clicking on any specific gift will open a Contribution Drawer, a detailed window that offers additional information about the contribution. Here you can see:

  1. Donation Amount β€” Review the gross value of the donation
  2. Payment Method β€” Displays the last 4 digits of the donor's payment method and shows an icon for the type of payment (credit/debit card, bank/brokerage account, Apple Pay, or Google Pay)
  3. Campus (and Fund, if any) β€” We recommend using the search bar within the dropdown menu to quickly locate any active or expired designation.
  4. Recurring Donation β€” Check if it’s a recurring donation and its frequency
  5. Donor Details β€” See if the donor helped covered the fees, gave anonymously, included any notes, etc.
  6. Integration Details β€” Useful for troubleshooting CRM connections!

✏️ Additional Options

You can also access additional options by clicking on the ellipses (β‹―) at the bottom of the Contribution Drawer:

  1. Refund β€” If necessary, you can initiate a refund for cash gifts. (Partial refunds are not available.)
    • If the gift was processed within the last 24 hours, the gift will be voided if it hasn't already been settled.
    • If this is not possible, we will issue a refund, which may take 2–7 business days to reflect in the donor's bank statement.

  2. Attribute to Pledge β€” If a donor has a pledge set up, you can designate this gift as a partial pledge fulfillment.
    • βœ… Note: Only donations made after a pledge is created are automatically attributed.
    • πŸ‘‹πŸ½ If a donor gave before their pledge was set up, you’ll need to manually attribute those gifts to make sure they count toward the pledge.
  3. Edit β€” Change the designated fund or deductibility status, as needed.

In the "Contribution" module, you can utilize the search bar on the top of the page to quickly find gifts within the Contribution Table. (❌ This search function does not apply to the entire Dashboard.)

Search by:

  • Donor Name
  • Donor Email Address

πŸ’‘ For the fastest and most accurate results, we recommend using the search bar located within each filter's dropdown menu instead.

πŸ“ˆ The Contributions Table features robust filtering options to help you analyze your giving effectively. For example:

  1. Date β€” Select from predefined relative date ranges, or set a custom date range.
  2. Status β€” Filter to show only 🟒 Confirmed Gifts, providing insights into your settled donations on your platform.
  3. Asset Class β€” Narrow down by type of donation (e.g., Stock or Digital Cash)
  4. Payment Method β€” Analyze gifts based on the actual payment method used (e.g., Apple Pay or Check)

Once you've filtered your donations:

  • Review Individual Gifts β€” Click on any donation for detailed insights.
  • Export β€” Choose to export all filtered data for further analysis.
  • Save Report β€” Name your report for filters you commonly use and access it any time. (πŸ”Ž Saved Reports can be found in the "Reporting" module)
