Stock Gift Tracking: How to View History, Request Updates, and Understand Statuses

Your Overflow Dashboard makes it easy to view the full history of your stock donations and request real-time updates.

🗂️ Viewing the Contribution History

  1. 🔑 Log in to your Dashboard.
  2. 💵 Open the Contributions Tab: This tab shows a list of all your gifts received, along with their current status. 
  3. 🔍 Filter by Asset Type: You can use the filters to narrow down contributions by asset, such as stock. This can make it easier to look for specific gifts!
  4. 🕓 View Contribution History: Click on any gift to open the donation details window and see its full history under the "History" tab.

 


🔄 Request a Status Update

If the status of a stock gift hasn’t changed within 7 business days, you can request an update to learn more about its progress. Our Processing team will gladly provide additional details!

  1. 🗂️ Follow the steps above to find the contribution.
  2. ➡️ Click the ellipses (⋯) listed at the end of the selected stock gift.
  3. 📩 Choose "Request Status" from the menu.

 


📖 Stock Gift Statuses

🤝🏽 All Partners

🚀 Initiated

When a donor submits a stock gift request through Overflow, the contribution will immediately appear in your Dashboard with the "Initiated" status.

 

🔄 In Process

  • Once the gift has been sent to the donor’s brokerage account for processing, the status will change to "In Process". This usually happens on the same or next business day!
  • If the donor or their Financial Advisor requests the DTC Transfer instructions, the status will update once they notify our Processing team that the stock transfer has been submitted to their brokerage.
    1. 💧 For Liquidation Partners: If we do not receive notification, the status will change to "In Process" once the shares are confirmed received in our Corporate brokerage account.
    2. 💼 For Brokerage Partners: If we are not notified, the status stays at "Initiated" until you email our Processing team to confirm the shares have been received in your brokerage account. Once updated to "In Process," you can proceed with the next steps.

 

🪜 Leading Up to Contribution Received

To see the next steps for your account type, please choose one of the following:

  1. 💧 Liquidation Partners
  2. 💼 Brokerage Partners

 

🧾 Acknowledgment Letter Sent (Highly Recommended)

This final status appears once you’ve sent an acknowledgment letter through Overflow. It is only visible within the "History" tab when viewing a specific stock gift.

  1. To ensure accuracy, please use the same date listed under "Received for Liquidation".
    • 📧 If you’d like to resend the acknowledgment letter, simply click the ellipses (⋯) and choose “Send Letter” from the dropdown menu.
    • ✅ If you’re enrolled in Auto-Confirm: Our Processing team can automatically complete this step once the status updates to "Contribution Received."
  2. 📧 The donor will immediately receive an email with a link to view and download the letter anytime from their Donor Profile.

 


💧 Liquidation Partners

If you’ve authorized Overflow to receive stock gifts on your behalf, you’ll see the following statuses:

📥 Received for Liquidation

This is the date Overflow received shares in our Corporate brokerage account on your behalf.

 

💰 Liquidation Complete

This marks the date when the funds settled following the sale of the shares.

  • Typically, shares are liquidated within 1 business day of receipt, and it usually takes 1–2 business days for the funds to settle in our account.
  • Once complete, the gift’s value is locked in and shown in the Amount field. (This amount is for internal reference only and should not be shared with donors for tax purposes.)

 

💸 Payout Sent

This status means Overflow has initiated the wire transfer to your nonprofit's bank account. This may take up to 5 business days to process depending on your bank.

 

📑 Contribution Received

Set this status after confirming the payout has arrived in your nonprofit’s bank account.

  • 💡 For accurate acknowledgment letters, please use the same date listed under "Received for Liquidation". (Cross-posted: 🧾 Acknowledgment Letter Sent)
  • ❗️ Note: Only stock gifts marked as “Contribution Received” will appear on donors' tax statements, since only confirmed donations are included.
  • ✅ If you’re enrolled in Auto-Confirm: Our Processing team will automatically complete this step once the status updates to “Payout Sent.

 


💼 Brokerage Partners

If your nonprofit receives stock donations in-kind to its own brokerage account, you’ll see the following statuses:

📑 Contribution Received

Set this status once you’ve confirmed the shares have been received in your nonprofit's brokerage account, ensuring it matches your brokerage's transaction history.

  • 💡 The Contribution Received date appears on the donor's acknowledgment letter.
  • 💰 An estimated value will also be assigned based on the stock’s high-low average on the Contribution Received Date. (This amount is for internal reference only and should not be shared with donors for tax purposes.)
