The acknowledgment letter is a critical document for your donors to have on hand. It is also an opportunity for you to continue to build relationships with your donors and thank them for their contribution to your organization. That's why we've made it possible for you to customize various aspects of the letter in keeping with your organization's brand.
HOW
- In your Dashboard, navigate to Settings, then Customization.
- Scroll down to the Acknowledgment Letter section.
- Make the changes you wish to see reflected in the acknowledgment letter and then click Save.
- You have the option to preview how your acknowledgment letter will appear by clicking "See Preview".
THE SECTIONS
Body
The first paragraph of the letter where you have a chance to acknowledge the donor's generosity and explain the details of the contribution.
Closing Statement
A final thank you that encourages the donor to continue to support your valuable work.
Sender
This will default to the organization name, but you can choose to put an executive's name instead. The sender section is only one line, but their title can be placed next to the name with the use of a comma if you choose. Example: John Gregory, CEO.
Disclaimer
CAUTION: We don't recommend changing the disclaimer drastically as the default disclaimer follows IRS guidelines. However, you can choose to add your EIN number or other pertinent details to this section of the letter.
NOTE: If a donation was made to purchase gala tickets, an auction item, or any other goods or services, you must create your own acknowledgment letter detailing the monetary value of those goods and services so that the donor can properly calculate their net charitable contribution value. Overflow's default acknowledgment letter assumes no goods or services were provided in exchange for the contribution.
Include Logo
If you select no, only your organization's name will appear within the acknowledgment letter header.
If you select Yes, your logo will appear at the top of the acknowledgment letter followed by your organization's name. The logo that will display is the same logo as the one that populates in your account and the donor experience. Your logo can be changed in the Organization tab within Settings.
