Within your Overflow Dashboard, you can view the history of all your stock donations and request the most up-to-date status of a contribution.
To view the status of a contribution, navigate to the Contributions tab in your Dashboard. Within this view, you can see the current status of each gift. To view the history of the contribution, click on the item to open the donation details window.
You can also request a status update on a specific gift through the Dashboard. Simply click on the ellipses on the far right side of the contribution. Then select "Request Status". Below is a quick video showing how to view the contribution history and request a status update for a specific gift:
But of course, it's helpful to know what each status means! Here's your comprehensive status dictionary:
Initiated
When a donor clicks "Send Donation" when giving stock through Overflow you will immediately see the contribution in the Dashboard with the status “Initiated”. NOTE: if the stock gift was submitted via our concierge process, the gift may take a couple of days to appear in your Dashboard.
In Process
Once the gift has been submitted to the donor's brokerage account for processing, the status will be updated to “In Process”. This usually happens within 1 business day of initiation.
Liquidation Services Clients
If you have authorized Overflow to receive stock gifts on your behalf, you will notice the following statuses in your Dashboard:
Received for Liquidation
This refers to the date that Overflow received shares on your behalf within Overflow's brokerage account. This will appear as a status and the date will be recorded on the contribution within the Received Shares Date column.
Liquidation Complete
This is the date the liquidation of the shares settled. The Donor Operations team will liquidate shares within 1 business day of receiving them into Overflow's brokerage account and it usually takes up to 2 days for the liquidation to complete. Once this status is marked on a contribution, the value of the gift is locked in and will show on the contribution under the column Contribution Value. This date will be recorded in the Liquidation Complete Date column on the contribution.
Payout Sent
This status is added to the history of the gift when Overflow initiates the payout of the liquidated shares to your organization's bank account on file. It can take up to 5 business days to transfer the funds to your account after this point depending on your banking institution. This date will be recorded in the Payout Sent Date column on the contribution.
Contribution Received
This status will be set once you have confirmed receipt of the contribution in your Dashboard. The date you choose as having received the contribution will then be recorded in the Contribution Received Date. This date is important because it also populates the Date Received field on your donor's automatically-generated acknowledgment letter. Generally, liquidation clients choose to set the Date Received to the date the gift arrived in Overflow's brokerage account, so this may be the same date as the Received for Liquidation date. You will receive an email from the Overflow team when we have received the gift for liquidation.
NOTE: Only confirm receipt of a stock gift that you know has been received by Overflow! Learn more about confirming receipt of a stock donation for liquidation clients here.
Brokerage Clients
If you have chosen to receive stock donations in-kind to your organization's brokerage account there is only one status you will see following "In Process":
Contribution Received
This status will be set once you have confirmed receipt of the contribution in your Dashboard. The date you choose as having received the contribution will then be recorded in the Contribution Received Date. This date is important because it populates the Date Received field on your donor's automatically-generated acknowledgment letter. It also determines the Estimated Value that you will see on the contribution. Estimated value is calculated based on the high-low average of the stock's price on the day you determine the gift was received into your brokerage account.
NOTE: Only confirm receipt of a stock gift that you have received in your brokerage account! Learn more about confirming receipt of a stock donation for brokerage clients here.
Acknowledgment Letter Sent
For both liquidation and brokerage clients, the final status you will see within the gift history view is "Acknowledgment Letter Sent". This means that you sent the acknowledgment letter to the donor from the Overflow platform. This status does not appear in the Contributions view of the gift but can be seen in the Donation Details window when you open a contribution.
